Invite your team
People do not need the same AI setup to work together. Invite them to the workspace, then let each person connect the tool they prefer.
- Open Settings → Members & Access.
Every active member can invite a Member. Only the workspace owner invites Admins and manages roles.
- Enter the person’s email and choose a role.
The invitation is tied to that email address.
- They join from the invitation.
Once inside, they can use the browser even if they have not connected an AI tool.
| Role | What it means |
|---|---|
| Owner | Manages the workspace, members, plan and owner-only agent settings. |
| Admin | Works with documents, sources and proposals, without owning member or billing management. |
| Member | Reads, writes, comments and takes part in review work available to them. |
Member management reference
Invite your team and choose roles
All member management happens in Settings › Members & Access.
Who can invite
Every active member of a company can invite a person as a Member. Only the company owner can invite an Admin. A member sees and cancels the invitations they sent; the owner sees and manages every invitation.
Only the owner can change a role, remove a member, reinstate a member, or transfer ownership.
Invite a person
- Open Settings › Members & Access, or choose Invite people in the account menu at the bottom of the sidebar.
- Select Invite and enter the person's email address.
- The owner chooses the role: Admin or Member. Everyone else invites a Member.
- Send the invitation.
A company has one open invitation per email address. If a teammate already invited the address, the app says already invited and offers Resend invitation email. The resend sends a fresh link to the same address; the original inviter and the invitation's access do not change. Only the owner can resend an Admin invitation.
When the company has no free seat, the invitation is refused. A member sees who to ask; the owner can add a seat in Settings › Members & Access.
The invitation arrives as an email with a link. The person opens the link while signed in with the same email address the invitation was sent to. An invitation is bound to that address; it does not work from another account. If the person has no ArtifactBridge account yet, they create one with that address first, then open the link again.
Invite from a document, folder, or Room
Anyone can also invite a person from a Room they own. Select Invite above the Room's Members in the room card and type the person's full email address. The same rules apply: the invitation remembers the Room, nothing is shared before acceptance, and the person lands in the Room when they accept. See Invite people to a Room.
Anyone can also invite a person from the Share panel of a document or folder they own. Under Who has access, type the person's full email address in Add or invite and choose Invite. The sentence next to the option states the effect before anything is sent. The person is invited to the company as a Member, and the invitation remembers the document or folder it was sent from.
- Until the person accepts, nothing is shared with them. The Share panel lists them as Invited · pending with Resend and Revoke.
- When they accept, they join the company and land on the document or folder named in the email. If that item was private when the invitation was sent, and is still private and still owned by the inviter, they get access to it at that moment. An item that was visible to everyone at the company when the invitation was sent never turns into private access later.
- Inviting the same address from a second document or folder you own adds that item to your open invitation. No second email is sent, the link stays the same, and no additional seat is used.
- If someone else already invited the address, the app offers to resend their invitation email. The document or folder is not shared until the person joins; share it with them then.
Members & Access shows the pending invitations you may see, including where each was sent from.
Roles
| Role | What it allows |
|---|---|
| Owner | Everything an admin can do, plus all member management: invite admins, manage every invitation, change roles, remove and reinstate members, transfer ownership, and manage the plan and payment. |
| Admin | Works in the company: reads documents, writes and publishes documents, reviews and approves agent proposals, and connects sources. Can invite members and manage their own invitations. Cannot manage members, cannot change the plan, and cannot change agent settings: the connectors, the persona, and the guidance are owner-only. |
| Member | Works in the company: reads documents, writes documents, comments, and reviews proposals. Can invite members and manage their own invitations. Cannot manage members and cannot change the plan. |
A company always has exactly one owner. To move that role, use Transfer ownership. The previous owner becomes an admin. Only the new owner can transfer ownership again.
Resend or revoke an invitation
Open Settings › Members & Access and find the pending invitation. A member sees the invitations they sent; the owner sees all of them. When a member is removed, leaves, or deletes their account, the invitations they sent stop working and no longer use a seat. Reinstating the member does not restore them.
- Resend sends the email again to the same address. When you resend a pending invitation from the Share panel of the document or folder it was sent from, the new email names that item and the person lands there when they accept. Resend invitation email, offered when someone else already invited the address, sends a fresh link only: the invitation keeps its documents, folders, and landing, and the item you are in is not added to it.
- Revoke invalidates the invitation. The old link stops working at once. Use this when you invited the wrong address. Revoking from a document or folder's Share panel, or from a Room's member card, cancels the whole invitation, including the other documents, folders, and Rooms it was sent from; the surface asks before it does so.
The link in the invitation email expires one hour after the email is sent. Resend sends a new email with a new link. The pending invitation itself expires 14 days after it is sent; a copied invite link works until then or until the next resend. An expired invitation forgets the documents and folders it was sent from; a resend from a Share panel adds that item again.
Remove a member
Select Remove on the member row. Removal is a suspension, not an erasure. The person loses access at once, and their private content is frozen. The company keeps the record of what they did, which is what the audit trail and the retention rules need. An owner cannot be removed. Transfer ownership first, then remove the account.
Reinstate a member
Select Reinstate on a removed member. Access returns. Use this when a removal was a mistake, or when the person comes back.
Agents use credentials, not member seats
An agent connects with a credential minted at sign-in. The credential appears under Settings › Access. The agent has no seat and no role of its own. It acts inside the company that granted access. To stop an agent, revoke its credential in Settings › Access.
Give people the context they need
Workspace membership, private-item access, and Room participation are separate. After inviting a colleague, check that they can open the documents and Rooms required for the task. Give an agent the relevant context through its owner’s connection rather than sending another person’s credentials.
Control agent recruiting
In the browser, open Settings → Account → Agent recruiting. The switch controls whether teammates’ agents may pull your agents into Rooms. Your computer’s desktop wake policy still decides whether an agent actually starts. Turning recruiting on does not bypass local limits or create access to private documents.
When someone leaves
Review membership, private document and Room access, owned work, and credentials. Remove the member through Members & Access and inspect the result. Resolve ownership before deleting an account or workspace. For local devices, desktop sign-out revokes that computer’s tool credentials.
